Business Management - How to Be More Proactive at Work

In today's fast paced business world a manager is expected to do more than manage. The successful managers who make it to the top of their careers understand completely that being proactive and taking the initiative is a required management skill to get to the top rung of the corporate ladder.

The fast paced world we live in especially the in business world has created what we know as the 'Do It Now' culture. This culture has now become mainstream even a way of life in many of the organisations and businesses. To be a successful and effective manager you need to adopt a proactive can do attitude. A manager who is reactive and waits to be prompted will soon get left behind.

There are many ways that you can get into the habit of becoming a proactive manager as follows:

1)Pro-activeness is created by ideas therefore, to be proactive you need ideas to act on. So, how do you go about getting ideas?. A good way to start is to carry a note book around with you so that you can write down ideas. Ideas can appear out of nowhere and they come to us everyday however, we quickly forget them because we never write them down. Review the ideas in your notebook on a regular basis as these can help you to come up with new projects, business ideas, solutions to problems and ways to save money. The important thing is to get those ideas down on paper before they escape forever.

2)One of the habits that many managers do is to procrastinate on certain tasks especially when it comes to relying on other peoples communications. You may experience having sent an email or a letter to someone who took a long time to reply to it. This probably made you feel annoyed that the other person has not replied to you in a timely manner. You never know but that person may have had the same experience waiting for you to reply to them. Get into the habit of replying immediately to every type of communication that you receive. In this way you will acquire the reputation of a proactive person who gets things done.

3)Being proactive also means that you know how to devote your time to your work effectively. Effective managers identity which tasks are a priority and worthy of their time. Those tasks that are deemed unnecessary or either disposed are delegated to someone else. In this way the effective manager only works on the necessary tasks that move them towards their business goals.

Small business tips: how to accept debit cards

As an entrepreneur, selling your product or service is a major part of business. Once you have your target’s attention and they agree to buy, one must be able to offer a variety of payment options. Long gone are the days of cash and carry, and some people don’t own any credit cards. Personal checks come with security risks, and take longer to receive the funds. But most people have a checking account, thus they have a debit card linked to that account. A debit card is convenient, because it allows the consumer freedom from carrying cash. It also allows the consumer to make a purchase and have it immediately deducted from their account. So, how does one accept debit cards?

The primary step is to obtain a merchant account. A merchant account is an account that links your business checking account with a debit card processing company. The company processes the purchase from the debit card and transfers the money into the merchant’s business account. The company may charge a transaction fee that can range from 1.5 to 3 percent of the purchase, or a flat fee. Some merchant accounts also charge a monthly fee in addition to transaction fees. Merchant accounts are offered through banks as well as independent providers. Many entrepreneurs employ the merchant account services of their business bank.

Once one has a merchant account established, one will need a debit card terminal. This is the same type of terminal used for processing credit cards. There are two ways of accepting debit cards – online or off line debit card transactions. With offline transactions the merchant swipes the customer’s card through the terminal, just like a credit card, and the customer signs the receipt. For off line processing, the debit card must have a Visa or MasterCard logo on it.

Online transactions require the merchant to swipe the card through the terminal, and the customer must enter their personal identification number on a separate PIN pad. Online processing is more economical because the merchant is charged a flat fee per transaction. Offline processing leads to a percentage charge per transaction. Terminals and PIN pads may be bought or rented from the merchant account provider.

Terminals aren’t the only option for processing debit cards. There are wireless options such as an 800 number verification service. Your merchant account provider may have an 800 number available where one can call in a debit card purchase and receive instant authorization. Only offline processing is available for this option. This option is good for mobile entrepreneurs who have limited or no access to electrical outlets to plug in terminals.

Internet businesses provide for merchant customer transactions where the two never meet. There are merchant account providers who specialize in processing payments over the Internet. An entrepreneur would link his website shopping cart to the merchant account providers system, and the transactions are processed immediately. With Internet processing only offline processing is available.

Today’s consumer has high expectations and demands of the merchants they deal with. They expect a high quality product at a competitive price with fast delivery. They also expect to be accommodated; no matter what payment option they choose. Debit cards are increasingly becoming a primary choice when making purchases. Are you ready for your customers? How to conduct a successful and effective business meeting

The bane of every worker or volunteer is the meeting that lasts for hours and accomplishes little. While some people simply stifle inner groans and tolerate whatever contortions managers, the board, or a committee wants to make, other people have identified and implemented ways to make meetings more meaningful for the participants.

Several talented managers have defined meetings as falling on a scale between rambling and unstructured to focused and structured. The goal of most of these managers is to get their meetings as far over toward the focused and structured as possible. In that vein, an effective meeting might be defined as one that:

-Takes only as much time as is needed to accomplish its goals

-Sticks to the subject

-Meets its objectives or goals

There are several practical tools that anyone chairing a meeting can use to make a meeting more effective. These tools are ones that have been suggested by top-level managers, meeting experts, association resources, and books and articles on the subject. They are intended to be practical resources that can be used immediately to make meetings more effective.

Agendas

It is nearly impossible to talk about effective meetings without discussing agendas. A properly prepared agenda can have a tremendous influence on the meeting¡¦s outcome. Some agendas are more effective than others. Cyril Houle, author of ¡§Governing Boards¡¨, says that a meeting agenda should be carefully planned: ¡§The items listed should not be merely sketchy notations indicating generally what is to be discussed but should be described at such length that the board will know what to expect. The person responsible for the presentation of each item should be noted, as should the expected length of time for its consideration at the meeting. Due care must be given to keep the agenda of the board meeting from becoming too full. If matters can be handled outside the meeting, they should be.¡¨ (Houle, Governing Boards, Jossey-Bass, San Francisco, CA 1989)

Many managers recommend that the meeting agendas be as detailed as possible. Simply putting down ¡§Treasurer¡¦s Report¡¨ is too vague and allows for too many unexpected issues to be brought up during a meeting.

Another manager suggests listing only committees on the meeting agenda that have something to report. Traditionally, an agenda might list every single committee, which leaves the committee chair feeling that they have to give some sort of report, even if they don¡¦t have anything to say.

Communication

Communication between meeting attendees is important. Letting all participants see an agenda before the meeting starts helps them come prepared to each meeting. It gives them a chance to review issues before the meeting begins and even get questions answered outside of the meeting.

Meeting Calendars

A meeting calendar can help a manager running a meeting determine when reports will be given and schedule issues to be discussed. This keeps participants from feeling that every issue must be discussed at every meeting. One manager said he uses the meeting calendar to help impose discipline at meetings. While the manager may not want to forbid anything that is not scheduled, he or she should encourage participants to stick to it.

Controlled Environments

Many managers have found that they can manipulate the meeting¡¦s physical environment to have a positive effect on the efficiency of meetings. Some managers even go so far as to remove all chairs from a meeting room, forcing participants to stand so that the meeting will go faster.

Even those managers that don¡¦t take things to such an extreme note the difference in length and meeting efficiency based on when they are held, where they are held, and the amenities available.

Meeting Procedures

Every meeting must have some sort of procedure by which it is run. General Henry Robert developed meeting procedures in 1876 by adapting the rules followed by the U.S. House of Representatives. Since that time, Robert¡¦s Rules of Order have been generally accepted as an efficient way to run a group meeting.

Some people, though, may resist Robert¡¦s Rules of Order as too stifling or because they inhibit debate. However, when used correctly, Robert¡¦s Rules can do just the opposite. They are ultimately meant to ensure that the majority is able to accomplish its goals while the views of the minority are protected and heard.

A danger to Robert¡¦s Rules of Order is what Edward Scannell, director of the University Conference Bureau of Arizona State University and past president of Meeting Planners International, calls ¡§motion sickness.¡¨ He points out that not all items require motions. If participants can agree to something quickly, then they should do so and save the procedures for when they are needed.

Consent Agendas

For every item opened for discussion, someone will feel obligated to say something. However, not all items that come before a group need to be discussed. There are always routine actions that must be voted upon due to tradition, bylaws, or policies. These might include contract renewals, ceremonial decrees, setting meeting times, etc. One way to reduce the amount of time spent on these routine items is for the chairperson to develop a consent agenda.

The consent agenda is given to all participants before the meeting. When the meeting starts, any participant can request that an item be removed from the consent agenda and opened for general discussion. All other items are voted on together, without further discussion.

It is important to note that the consent agenda should be used only to save time, not to push something through on an unaware team or board. The only items that should be placed on a consent agenda are those that are highly likely to pass unanimously without discussion or amendment.

Straw Votes

A straw vote is as much a consensus-building tool as a time-saving tool. A straw vote involves introducing an issue and allowing a moderate amount of discussion. When the chairperson senses that there is a majority or consensus on an issue, he or she can ask for a non-binding¡Xor straw¡Xvote on the issue using a show of hands. This enables participants to see whether there is a consensus and how other people are voting. If there is a clear majority, the chairperson can ask, ¡§Are you ready to vote?¡¨ The straw vote can cut down on discussion time as it reveals when a group is ready to vote, often long before they realize they are ready.

Discussion-Only Items

Some group shave found they can save time by bringing up an item at separate meetings. The first time an item is brought up it is either introduced without discussion (preferably at the end of a meeting) or introduced for discussion only. At the next meeting it can be brought up for a vote without any discussion. This method allows participants to work out any problems they have with the item between meetings instead of on the spot. They can then come to a meeting more prepared and comfortable with their decision.

The reward to implementing the tools discussed here can be a more effective meeting style.

How to write a small business strategic plan

A strategic plan can help to steer a company to operational success over a short or long period of time. If an enterprise pokes along without a sense of direction, it may end up going nowhere. That is why you need to write a strategic plan to guide your organization through good times and bad.

Many companies form strategic planning committees, with members from all major departments. Every area should be represented so that no employee feels left out or disenfranchised. Employee representation is vital for staff buy-in and implementation.

Organize monthly meetings, with the chair setting an agenda and, with the committee's help, establishing a timeline for completing a draft of the plan. After each meeting, the committee report should be published in the company newsletter or in a special section of the Web site, if applicable, to keep everyone informed of the document's progress.

Feedback should be sought from non-committee employees on a routine basis. As each draft of the strategic plan comes together, it should be reported in company media, with feedback invited by a certain time. Or copies of the plan can be circulated with a request for proposed editing changes by a specific date. That way no one can say he or she did not have a voice in setting the company's future goals.

Goals to be considered may include objectives like these:

-Improve safety by increasing parking lot lighting

-Increase customer satisfaction by reducing turnaround time on orders from four days to two.

-Enhance the foyer appearance by adding live plants and carpeting.

Larger or long-range goals should be set under broad categories:

-Customer satisfaction

-Employee safety

-Product integrity

-Workplace harmony

As one goal is met, replace it with another. There are always ways in which to improve company performance.

In additional to operational objectives, five- and ten-year goals should be emphasized, along with the steps for reaching them:

Five-year plan:

-increase profits by 25%

(expand customer base through sales calls, increase advertising budget by 10%)

-increase staff by 10%

(hire full-time employee each year for five years)

-add 2,500 square feet of production space

(purchase adjacent lot and erect a pole building)

-reduce waste by 20%

(double-check product content daily)

-decrease absenteeism by 30%

(offer $200 annual bonus for perfect attendance)

These clear-cut, measurable goals and steps can be attained through employee motivation and cooperation. At staff meetings take time to explain the purpose of the plan and the overall value to the company, its employees, and your customers. In putting the plan on paper, divide departments or areas into sections, list the steps for achieving each goal along with a timeline for completing the action step, and circulate the plan for final approval before pronouncing it complete.

When the plan is formally adopted, be sure that each employee gets a copy. Make reference to it at staff meetings, retreats, and other special programs. The committee should review the plan at least once a year for updates and reprioritization. A competent strategic plan can provide the structure and vision that will lead your company to the next level of achievement.

How to write a proposal in business

You’re trying to land a new customer. The potential customer wants a proposal. Now what? Writing proposals that land new customers and increase business doesn’t need to be painful. Writing proposals does take some up-front planning and organization.

Two keys to a successful proposal are a well-defined scope of work and accurate market knowledge. What do you know about your customer’s needs? What are your competitors’ offerings?

The text below covers the information most proposals should include. This provides a good starting point for unsolicited proposals or when the potential customer hasn't provided detailed instructions. The format and level of detail you use depends on your audience and any instructions or requests the potential customer provides.

Introduction: Tell the customer who you are, where you are located, who your current customers are, and the size of your company. Information in this section is intended to establish credibility. Show your potential customer that you are dependable and that you are not one of those fly-by-night companies. You’ll be around to complete the project, assure your customer is satisfied, and to provide follow-on work.

Scope of Work: Tell the potential customer what you’ll do for them. If the customer has already defined the scope of work, include how you will complete the work. The schedule for completion of the work, or delivery of the product, can be included here or with the cost information. This section is where you sell yourself. Remember to turn features of your work or the approach you use into benefits for the customer.

Ability to Perform Scope: Tell the potential customer why you can successfully complete the scope of work. This section can focus on the credentials of the people working for you and on past successful projects. This section may be titled Past Performance if your content is just past projects.

Deliverables: Tell the potential customer what they will get. Be specific about what you will provide. Whenever possible, provide a tangible physical product. This is particularly important if you are performing support services. Describe customer reviews, approvals, and any revision or change processes that are applicable. If there are specifications or regulatory requirements associated with the deliverables, tell the potential customer how those will be met and how compliance will be documented.

Cost Estimate: Tell the customer what you will charge to perform the scope of work. The level of detail included in this section depends on the customer’s requirements. A clear scope of work will result in an accurate cost estimate. If you made assumptions when developing the estimate, be sure to include those in this section.

Proposals for products to the consumer or business market are usually just estimates or catalogs. Products sold to the government are often catalogs unless you are manufacturing the product or the product is used in a safety- or regulatory-required function. In this case, a description, and sometimes audit, of your quality assurance program is required.

Proposals that business owners find the most difficult are for services performed on a government contract. A key to winning proposals for government work is submitting a package compliant with all the requirements in the bid documents or request for proposal (RFP). You can’t win the work if your proposal doesn’t get evaluated because it doesn’t meet requirements. Spending the time needed to put together a compliance matrix or checklist is worth while. The RFP will often contain a checklist listing all the forms and sections of the proposal package. However, you will have to identify content requirements for the proposal yourself. These will usually come from the statement of work, instructions to offerors, and evaluation criteria section of the RFP.

Plan enough time to complete your proposal. Organize your response to obviously meet all your customer’s proposal requirements. Check to be sure you have included all the required information and forms. Write to sell. Complete proposals that are well organized will get you new customers and increase your business.

How to Write a Business Letter


  1. Step 1
    Begin in the upper left corner with the date you are writing the letter. The date can be used for a point of later reference.
  2. Step 2
    State the name of the recipient, along with his or her job title, the name of the company and the address.
  3. Step 3
    Include a salutation in the upper left corner. It is commonly "Dear," followed by the name of the recipient. It is a good idea to address the person formally as Mr. or Ms. If the name of the recipient is unknown, follow with Sir or Madam.
  4. Step 4
    Continue with the body of the letter. Do not indent, but put a space between paragraphs. In a business letter, make sure the point is stated clearly. The purpose of the letter should be stated in the first sentence of the body.
  5. Step 5
    Choose a proper closing. The most common one is "Sincerely" followed by a comma. Type your name below the body to the left. Below that, type your job title. Once the letter is printed, put the signature below the printed name.
  6. Step 6
    Edit the letter. Check for spelling and grammatical errors very carefully. Nothing makes a letter look less professional than misspellings. Have another party ready the letter before sending it. The most popular word processing programs can also help you check. They do not catch all errors, however, so read the letter thoroughly.
  7. Step 7
    Use company letterhead if possible. Make sure the letter is double spaced. Choose a block font that is easy to read, not a pretty or flowery font.

Getting a job in the catering business

London is one of the premier places in the world for outdoor catering. The demand for corporate parties, private functions and other social events is huge. The style and output of these companies vary greatly, as do the pay scales and working conditions. I have personally worked for several different companies during my time as a student, and as such, my advice should be useful for anyone looking to work during the busy periods.

In England, the busy periods usually comprise the months of June, July, and December. There are jobs available the rest of the year, but these are often few and far between.

When looking into different companies for employment, there are several things that you should find out about each one before making any commitments.

1. Do they have a web-site? If they do then you should endeavour to visit it. Looking at the pages of their site should give an indication as to its quality. On the site, make sure that they have a selection of quality venues (places such as the Banqueting House in Whitehall, Vinopolis in London Bridge and The National Gallery), this is a sure fire way to see if they are a respectable company. The lesser regarded companies will not maintain contracts with established venues. Also, the web site itself should look good, this may seem superficial but appearances are everything in catering.

2. If you get the chance to see the warehouse from where the equipment is stored and the food is produced, it is important that you notice how tidy and well-ordered it is. If the warehouse is large and well presented, it is probable that it is a good company. They obviously have enough money to employ a good number of staff to keep running smoothly, which should mean that they don’t treat you like slaves.

3. Try to find out how many company vans they have. The more they have would indicate that they are more successful, but also indicates how stingy they are. If the company is large and only has a small number of vans, then they must cut corners, including your pay and working conditions.

4. Find out how often casual staff are paid. The better companies will pay every week. Some of the worse companies will make you wait for up to six weeks before paying, which is unacceptable if you are in casual employment.

5. The location is another factor. If the company is based a long way from the centre of town, it is because they don’t have a lot of money. Companies that are based closer to the centre are there because they can afford to be.

Following these guidelines should result in a prosperous and enjoyable time at work. Some of the advice may seem petty, but it could make the difference between getting a bad job and getting a good one.

Humor in professional business writing

Adding some levity in your professional business writing can give you a critical edge. But it can be a dangerous play as well. The following points can help you be more effective.

* Write for a bigger audience than anticipated. It’s easy to add in some humor that will work for a few people you know on an internal memo...but what if the distribution widens? Suddenly, that inside joke or inter-department jab might not help much.

* Humor in business writing is a lightening agent: in other words, it’s sugar to help the rest of your article go down. Keep this in mind when you make your edits. It’s a seasoning, not a main ingredient.

* Whenever you add humor to a piece of business writing, try to make the humor work for people who are outside your usual readership. If you do your job correctly, you’ll get those readers.

* Self-deprecation is an excellent tool, but be careful to use it in moderation. If the end result of your piece is to make your reader think you a clown, rather than a gifted writer who is fun to read, that’s not exactly what you were aiming for.

* Make an accurate assessment of the intellectual level of your audience. Arcane references might slay people with your education and expertise, but they’ll just leave unconnected readers cold.

* Humor frequently comes through recognition, which is why repetition can be your friend. So if you’ve got a good joke or humor element, don’t be afraid to use it several times in your piece. Just make sure that it’s truly effective...or you will wind up provoking repeat groans, rather than repeat chuckles.

* Absurdity can be devastatingly effective. Consider bringing in some left-field references or turns to your writing. Getting in something unexpected can work wonders.

* In general, avoid sarcasm or cynicism. While it may indeed be funny, it also can leave a bitter taste or feeling in the reader and paint the writer as a malcontent. This is a hard one for many people to avoid, but if you can be funny without being overly dependent on negativity, your writing will be much more effective.

* Humor works extremely well in places where formulaic writing predominates. Adding small asides and other humorous material in places like fine print, footnotes, etc., can be deadly.

* Confident people are funny people. If you aren’t reasonably sure how your attempts will be received, error on the side of caution.

Business: how to write effective business letters

Whether you're a common consumer writing to a large business about one of their products or you’re the CEO of a company sending a memo to the accounting department, good writing skills can drastically change the impact of what you've written.

The first step in writing effective business letters is being able to project an air of professionalism. The easiest way to do this is to take care in choosing your words, avoiding slang and abbreviations as much as possible. Use good grammar structure, avoid run-on sentences, and be as knowledgeable as you can with your message. As the saying goes, you don't get a second chance to make a first impression; this goes double when the first impression you make is being made with plain white paper with nothing more than printed text on it.

When writing a business letter, it is also vital that you type or print the contents using a computer or word processor. If you have absolutely no access to either of these, it is acceptable to hand-write some letters... make sure that you write as neatly as possible however! Whether hand-written or type-written, you should also make sure that the paper you use is a sharp white. Although clouds or rainbows might get the attention of whomever you're writing to, it's probably not the type of attention that you'd like to get. Keep it simple and neat.

When writing to a company or other business, try to be as specific as possible. Do your homework and find out to whom your letter should be addressed; this may mean looking up things online, or it might mean making a call and asking someone directly. While it won't always be possible to find out the name of a specific person or that person’s address, when you can find a name it will likely make a world of difference. After all, which sounds better: a letter addressed to "Mr. Phillip Jones," or one that's simply addressed “Dear Sir or Madam” or "To Whom It May Concern"? In particular, "To Whom It May Concern,” while once perfectly acceptable, is now considered to be in poor taste and should be avoided at all costs.

A final point that should be considered when writing business letters-spelling. Before sending off any business correspondence you should run it through at least one spelling check, if not two. After checking the spelling, read through the letter to check for homonyms (words that sound alike but are spelled differently), since most spell checkers can't pick up on words that are spelled correctly but used in the wrong way. While reading, you should also be on the lookout for any words or phrases that seem awkward or out of place so that you can change them before you send the letter off.

Remember though, in the end it's up to you to find your own style of correspondence and that no guide can tell you the "right" and "wrong" ways to write in your own personal style. However, if you apply these suggestions and incorporate them into your writing practices, both your business and personal writing skills will likely improve drastically.

How to budget for a small business

So you are considering a small business. More than hopes and dreams you will need to invest yourself in plans. A successful small business does not spring spontaneously from a wish. It needs the foundation that can only be provided by:

• Market research - Is there a need for the service/product I want to provide, who is my competition? Who is my audience?

• Business plan - What are you planning to do, how are you planning to do it? What expertise/experience do you bring to the task?

Income should be recorded on a cash basis. For example, billable services should be counted as income in the month of receipt. Have a backup plan for the (hopefully) rare times that you are not paid for services in a timely fashion.

Revenue Stream

If you sell bicycles and sponsor bicycle tours, each represents a different revenue stream. Your budget should include anticipated income from each revenue stream. Again, categorizing each revenue stream allows you to identify which aspects of your business are profitable and which are not.

Expenditures

Your budget should also include all anticipated expenses. Some of these will be fairly constant, or fixed, such as rent, leased equipment and salaries. Others, such as hourly wages and materials, may vary. A comparison of income and expenses will reveal any gaps. The budget can help you plan around these gaps and avoid cash shortfalls.

You need not sit down with pen and paper to write your budget. There are a number of excellent software programs that make short work of budgeting. These programs can serve you well by reducing arithmetic errors, generating customized reports (such as profit and loss statements, reports on specific revenue streams or budgeted vs. actual expenses) and creating importable data. Most are very user friendly, affordable and require no accounting experience.

There are a number of advantages to writing a small business budget. These include:

• The opportunity to reflect on the thoroughness of your business plan.

• Provides an annual and monthly picture of income and expenses.

• Outlines information you will need to complete loan/financing applications.

• Gives you the control you need to head off problems and plan for success.

• Gives the opportunity to plan ahead for shortfalls, slow downs, and busy seasons.

• Gives opportunity to plan finance or purchase of capital expenditures without too much distress.

• Lets you plan for a profit.

• Can pinpoint successful areas as well as those that may need additional marketing or other tweaking.

The budget should be regarded as a dynamic and fluid document. As such, you should refer to it regularly and make adjustments as needed. Your budget also helps you focus on monthly targets in terms of income and expenses. It also provides an objective view of how you are doing. This can be a great motivator for you as well as for your staff. Much more than a burden, the small business budget is a critical tool for planning and success.

Free sample business letters: how to write a letter for complaint

Got a complaint? Why not? Life’s full of them. Did your cell phone carrier not provide the services you expected? Is it that the rebate you expected for purchasing that new computer wasn’t the amount you were promised? Face it, at some time you’re going to have a complaint that needs to be put in writing. Rather than dread the inevitable, keep in mind that writing a complaint letter can be easy if you just follow five simple rules.

Rule One - Keep in mind that no matter how upset you are, don’t let your hostility spill over into your writing. To be taken seriously it is essential to keep a calm and professional tone in your letter. This means no blaming, no name calling, and definitely no foul language.

Rule Two - Use a three point approach. This approach breaks down your letter into three paragraphs with each one having a specific purpose.

Paragraph one - needs to clearly explain the transaction or situation you had expected. Use as much detail as possible in this paragraph. Be certain to list dates, dollar amounts (both by unit and total), names, and any other pertinent information. This will give the reader an idea of your perspective on the situation.

Paragraph two - explains the problem. Remember, don’t blame. Everyone makes mistakes so keep this assumption in your mind as you write. Mention any copies of documentation which substantiates your claim. For example, if you have a copy of the advertisement showing a $150 rebate and the check that you received for only $50.

Paragraph three - is the resolution. Many people have a bad habit of stopping after the second paragraph. They can easily state what they wanted and even more easily point out the flaws, but the third paragraph is critical. This is where you tell the reader exactly what you want them to do. Don’t ever assume that a complaint alone is enough. Many times it isn’t. If you want a check sent, say so! If you need a replacement of poor quality merchandise, tell them!

Rule Three - Give contact information. If there are questions regarding your letter, who should be contacted and how? List a valid phone number or email address. This should be at the end of the third paragraph.

Rule Four - Use a professional business letter format. This will help bring the reader’s respect and add credibility to your writing.

Rule Five - As you close your letter thank the reader for their assistance. People respond better when they feel they are being asked and appreciated, rather than ordered.
